Privacy Policy
How SpenceBot collects, uses, and protects information.
1. Information We Collect
SpenceBot may collect information that you provide when creating an account, setting up your business, using the dashboard, communicating with support, or subscribing to our services.
This may include your name, email address, phone number, business name, business address, business hours, services, FAQs, instructions provided to the AI assistant, and other information you choose to provide.
Depending on the features used by a business, SpenceBot may also process information submitted by website visitors through a customer's chatbot, including messages and contact information.
2. How We Use Information
We use information to provide, operate, maintain, secure, and improve SpenceBot; provide customer support; process subscriptions and payments; authenticate accounts; prevent fraud and abuse; and communicate important service or account information.
Business information provided by a customer may be used to generate AI responses through that customer's chatbot.
3. AI-Generated Responses
SpenceBot uses artificial intelligence to generate responses based on information supplied by the business and the customer's conversation. AI-generated responses may be inaccurate, incomplete, outdated, or inappropriate.
Businesses are responsible for reviewing their information, chatbot configuration, instructions, and the responses provided to their customers.
4. Payment Information
Payments and subscription billing are processed through Stripe. SpenceBot does not intentionally store customers' complete credit card numbers or payment card security codes on its own servers.
Stripe may collect and process payment and transaction information according to its own policies and agreements.
5. Service Providers
SpenceBot may use third-party service providers to operate the service, including hosting, authentication, database, payment processing, AI, security, analytics, and other infrastructure providers.
These providers may process information as necessary to provide their services to SpenceBot.
6. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction.
No internet-based service can guarantee absolute security.
7. Data Retention
We retain information for as long as reasonably necessary to provide the service, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, and maintain legitimate business records.
8. Your Choices
Depending on the information and applicable law, you may request access to, correction of, or deletion of certain personal information. Requests can be submitted using the contact information below.
9. Children's Privacy
SpenceBot is a business software service and is not directed toward children. We do not knowingly design the service to collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When material changes are made, we may update the date shown at the top of this page or provide additional notice when appropriate.
Terms of Service
The terms governing use of SpenceBot.
1. Acceptance of Terms
By creating an account, purchasing a subscription, or using SpenceBot, you agree to these Terms of Service. If you do not agree, do not use the service.
2. The Service
SpenceBot provides AI-powered chatbot software that allows businesses to provide automated answers to website visitors using business-provided information.
Depending on the subscription plan, SpenceBot may also provide features for lead capture, customer contact collection, appointment requests, and related dashboard functionality.
3. Account Responsibility
You are responsible for maintaining the security of your account credentials and for all activity occurring through your account.
You agree to provide accurate information and keep your account information reasonably current.
4. Business Content
You are responsible for the information, instructions, services, FAQs, contact information, and other content you provide to SpenceBot.
You represent that you have the necessary rights and permissions to provide that content and instruct SpenceBot to process it.
5. Acceptable Use
You may not use SpenceBot for unlawful, fraudulent, abusive, deceptive, harmful, or unauthorized purposes.
You may not attempt to interfere with the service, circumvent security controls, gain unauthorized access, reverse engineer protected systems, or use the service to violate the rights of others.
6. Subscriptions and Billing
SpenceBot currently offers recurring subscription plans, including Basic at $99 per month and Pro at $299 per month, unless a different price is clearly displayed at checkout.
Subscriptions automatically renew for the applicable billing period until canceled. By subscribing, you authorize the applicable payment method to be charged for recurring subscription fees and applicable taxes.
Subscription pricing, billing frequency, and material subscription terms are presented during the purchasing process.
7. Cancellation
You may cancel your subscription using the cancellation functionality made available through your SpenceBot account or by contacting SpenceBot support when applicable.
Cancellation stops future recurring charges. Unless otherwise required by law or expressly stated by SpenceBot, cancellation does not automatically create a refund for amounts already charged.
8. Refunds
Subscription payments are generally non-refundable once a billing period has begun, except where required by law or where SpenceBot elects to provide a refund.
If you believe you were charged in error, contact support as soon as reasonably possible.
9. Intellectual Property
SpenceBot and its software, branding, interface, code, design, and other original materials are owned by or licensed to SpenceBot and are protected by applicable intellectual-property laws.
You retain ownership of content you provide to SpenceBot, subject to the rights necessary for us to operate the service.
10. Third-Party Services
SpenceBot may rely on third-party services and infrastructure. Third-party services may have their own terms, policies, limitations, and availability requirements.
11. Service Availability
We aim to provide reliable service, but we do not guarantee that SpenceBot will always be available, uninterrupted, error-free, or free from delays.
12. Termination
We may suspend or terminate access to SpenceBot if an account violates these Terms, presents a security or legal risk, fails to pay required fees, or otherwise misuses the service.
13. Disclaimer of Warranties
SpenceBot is provided on an "as is" and "as available" basis to the extent permitted by law. We do not guarantee that AI-generated responses will always be accurate, complete, appropriate, or suitable for a particular purpose.
14. Limitation of Liability
To the maximum extent permitted by applicable law, SpenceBot will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from or related to use of the service.
Nothing in these Terms is intended to exclude or limit liability that cannot legally be excluded or limited.
15. Changes to the Service or Terms
We may modify the service or these Terms from time to time. Continued use of the service after updated Terms become effective constitutes acceptance of the updated Terms to the extent permitted by law.
Refund & Cancellation Policy
Cancellation
Customers may cancel their SpenceBot subscription through the available account cancellation functionality or by contacting support.
Cancellation prevents future recurring subscription charges. Customers remain responsible for charges that were properly incurred before cancellation.
Refunds
SpenceBot does not generally provide automatic refunds for unused time remaining in a billing period after cancellation.
Refund requests may be reviewed individually. If a customer believes they were incorrectly charged, they should contact SpenceBot support promptly with the relevant account and transaction information.
Billing Errors
If you believe a billing error occurred, contact us before initiating a payment dispute whenever reasonably possible so we can investigate the issue.
AI Disclaimer
SpenceBot uses artificial intelligence to generate responses to website visitors. AI systems can make mistakes and may provide information that is inaccurate, incomplete, outdated, or inappropriate.
SpenceBot does not guarantee the accuracy or completeness of any AI-generated response.
Businesses using SpenceBot are responsible for reviewing their chatbot configuration and business information and for determining whether the service is appropriate for their customers and industry.
SpenceBot should not be relied upon as a substitute for professional legal, medical, financial, emergency, or other specialized advice.
Customers should contact the business directly when an issue requires authoritative information or human assistance.
